1. Overview
URManager provides software for managing short-term rentals and long-term leases — including bookings, payments, accounting, smart-lock access, communications, and automation. To deliver these features, we process information about our customers (property owners and managers) and, on their behalf, information about their tenants, guests, leads, and contacts.
2. Information we collect
Information you provide
- Account & profile: name, email address, phone number, password, business name, and role.
- Property & listing data: property addresses, descriptions, photos, pricing, availability, and amenities.
- Financial records: ledger entries, expenses, invoices, receipts, loan and mortgage details, and payout information you enter or upload.
- Tenant, guest & contact records: information you add about the people you manage (see Section 6).
- Communications: messages, support requests, and other content you send through the Service.
Information collected automatically
- Usage data: pages viewed, features used, actions taken, and timestamps.
- Device & log data: IP address, browser type, operating system, and diagnostic data.
- Cookies & similar technologies: as described in Section 7.
Information from third parties
- Payment confirmations: details forwarded from payment channels (e.g., card processors, Zelle, Venmo, or listing platforms) to reconcile transactions.
- Connected services: calendar feeds (e.g., Airbnb, VRBO), smart-lock data (TTLock), and accounts you connect via OAuth or API.
We do not ask you to enter full payment-card numbers or bank credentials directly into the Service; payments are handled by third-party processors.
3. How we use information
- Provide, operate, maintain, and improve the Service.
- Process bookings, payments, billing, and accounting on your behalf.
- Issue and manage smart-lock access codes.
- Send transactional messages, notifications, and service-related communications.
- Provide AI-powered features you request (see Section 4).
- Detect, prevent, and respond to fraud, abuse, security incidents, and technical issues.
- Comply with legal obligations and enforce our terms.
- With your consent, send product updates and marketing (you can opt out at any time).
4. AI features & processing
The Service includes AI-powered features (for example, drafting listings and agreements, reading receipts, generating guides, and parsing payment emails), and lets you connect your own AI assistant through our MCP server. To provide these features, relevant content may be sent to trusted AI service providers (such as Anthropic) solely to generate the requested output.
- We use AI providers under agreements intended to ensure your data is used only to provide the feature and not to train their public models.
- AI output may be inaccurate or incomplete. You are responsible for reviewing AI-generated content before relying on or acting on it.
- When you connect an external AI assistant (e.g., Claude or ChatGPT) via MCP, your interactions are also subject to that provider's privacy policy.
5. How we share information
We do not sell your personal information. We share information only as described here:
- Service providers: vendors who help us run the Service — including cloud hosting and storage, content delivery, payment processing, email and SMS delivery, smart-lock infrastructure, and AI processing — under contracts that limit their use of the information.
- To complete your transactions: with the tenants, guests, and counterparties you choose to transact or communicate with through the Service.
- Legal & safety: when required by law, legal process, or to protect the rights, property, or safety of URManager, our users, or others.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
- With your consent: for any other purpose disclosed at the time.
6. Tenant, guest & contact data
When you use the Service to manage your properties, you may input information about tenants, guests, leads, and other contacts. For that information, you are the data controller and URManager acts as a data processor handling it on your behalf and on your instructions.
You are responsible for having an appropriate legal basis and any required notices or consents to collect and share that information with us, and for complying with applicable privacy laws. If a tenant or guest contacts us about their data, we will generally refer them to the relevant account owner.
7. Cookies & tracking
We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect functionality. Where required, we present a cookie choice and default to the most privacy-preserving option.
8. Data retention
We retain information for as long as your account is active or as needed to provide the Service, and thereafter as required to comply with legal, accounting, tax, or reporting obligations, resolve disputes, and enforce our agreements. You may request deletion as described in Section 11; some records may be retained where law permits or requires.
9. Security
We use technical and organizational measures designed to protect information — including encryption in transit, access controls, encrypted storage of sensitive credentials, and private, signed access for confidential documents. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please use a strong, unique password and keep your credentials confidential.
10. International data transfers
We may process and store information in countries other than where you live. Where we transfer information across borders, we take steps to ensure it receives an appropriate level of protection consistent with applicable law.
11. Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of the EEA/UK (GDPR) and California (CCPA/CPRA), among others, may have specific rights, including the right not to be discriminated against for exercising them. We do not sell or "share" personal information for cross-context behavioral advertising.

12. Children's privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
13. Third-party links & services
The Service may link to or integrate with third-party websites and services that we do not control. Their use of your information is governed by their own privacy policies, and we encourage you to review them.
14. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance.
